SUMMARY:The Full-time Staff, hourly position reports directly to
the Director of Student Accounts. As the Student Accounts
Specialist, responsibilities include assisting students throughout
the financial aid application process and billing procedures, while
delivering excellent customer service and providing clerical
support. Maintaining confidentiality of data communications is
essential for this role. The position entails working 37.5 hours
weekly, 8:30 am to 5:30 pm (2 hybrid days to be determined). Some
nights or weekends may be required at key times of the
year.ESSENTIAL JOB FUNCTIONS:
- Oversee Student Health Insurance process. This includes
reconciling invoices with the vendor and billing system and process
waiver submissions.
- Assists with the 1098T process.
- Student communication: in-person, phone, and email
inquiries.
- Assist in processing and posting returned refund check by
student, coordinating with the Financial Aid Office when
needed.
- Assist in process posting of electronic payments and
adjustments for insufficient funds.
- Posts billing adjustments and manual drops.
- Prepares statements and third party invoicing, including
Veterans Assistance and other federal and state government agencies
or departments.
- Certifies enrollments for the VA as well as amendments.
Prepares invoices, including VA through Tungsten network, state
government agencies or city of departments.
- Assists with audits, including but not limited to; financial
statements, single and outside agencies' audits.
- Provides prompt and courteous customer service at all
times.
- Assists with graduating student audits to confirm students'
accounts are finalized and properly communicated to students,
addressing any outstanding balances. Performs special projects as
requested by the Director of Student Accounts.
- Provides timely assistance and guidance to students on
financial matters and resolves inquiries/issues that may arise from
students or any internal departments.
- Timely documents pertinent information or discussions with
students in the electronic notepad of the student's record.
- Communicates and works with other student services offices to
timely and effectively resolve student inquiries.
- Explains and enforces all university policies that impact
student accounts.
- Assists with collections and due diligence procedures on
outstanding accounts receivable as directed.
- VA shopping sheets.
- Attend training as required.
- Perform any other duties or tasks as assigned by the
University.OTHER RESPONSIBILITIES:Posting and reconciliation of
cash, checks online credit card payments and electronic
payments.Prepare and process bank deposits via remote Deposit
Capture.If you operate a University owned, leased or personal
vehicle at any time while performing your duties you must follow
all policies and procedures outlined in the Operations Manual. You
must have a valid driver's license and must successfully pass the
online safe Driving Course and driving record check at time of hire
and annually thereafter. Additionally, you must report any driving
offense, on or off company time, which causes a loss, suspension,
or any other change in your license status. You must report this
change within one business day of the offense. You can report this
change to the Human Resource Department or your direct supervisor.
Failure to do so can lead to disciplinary action, up to and

RESPONSIBILITIES:NoneRequirements:QUALIFICATIONS:
- BA/BS preferred, but not required; minimum 2 years customer
service and office clerical experience.
- Experience in financial aid and student accounts office setting
preferred.
- Follows directions and completes tasks accurately and accepts
supervisory input and constructive criticism.
- Demonstrated ability to handle multiple tasks, duties and
responsibilities and shifting timelines effectively and meet
deadlines.
- Demonstrated excellent business writing and verbal
communication skills.
- Ability to work well under occasional pressure and time
constraints.
- Solid organizational skills, accuracy and attention to detail a
must.
- Ability to adhere to University policies and procedures.
- Ability to handle confidential information with discretion and
within FERPA and HIPAA guidelines.
- All new employees must complete the FERPA, Anti-Harassment, and
any other required online training within 15 days of
employment.
